Free Travel CRM: What You Get, Limits & When to Upgrade

Free CRMs like HubSpot and Zoho work for basic contact management, but they don't build itineraries or handle travel operations. Here's when free is enough and when it isn't.

Free Travel CRM: What You Get, Limits & When to Upgrade

Short answer: A free travel CRM usually means a generic CRM's free plan (HubSpot, Zoho) that stores contacts and enquiries but has no itinerary builder, vouchers, GST invoices or tour-specific features. Fine if you are solo and get under 30 enquiries a month. Beyond that, you need travel-specific software.

I run TripClap CRM, so I have a dog in this fight. But I have watched many agents try to run their business on free tools, and I know exactly where it breaks.

Here is what a free travel CRM actually gives you, what it does not, and the signals that tell you it is time to upgrade.

What "free travel CRM" usually means

When someone searches for a free travel CRM, they usually land on one of two things: a generic CRM's free plan (HubSpot, Zoho) or a travel CRM's free trial.

Those are not the same thing.

HubSpot offers a free CRM plan forever. Zoho CRM is free for up to 3 users. Both let you store contacts, log enquiries, set reminders and track a basic pipeline. That is it.

A free trial gives you full access to a paid product for 7 or 14 days, then asks you to subscribe. TripClap CRM has a 7-day free trial with no credit card required, but we do not have a free plan. Once the trial ends, you pick a paid plan or lose access.

If you want to understand what a travel CRM does beyond basic contact management, the short version is: itinerary builder, quotation PDFs, booking and voucher management, payment tracking with GST invoices, and reports that show you conversions and revenue by source.

None of that exists in a generic free CRM.

What you get on HubSpot's free CRM

HubSpot's free plan is genuinely free, no time limit.

What it includes:

  • Contact and company records
  • Deal pipeline with stages you can customise
  • Email tracking (it tells you when someone opens your email)
  • Meeting scheduler
  • Live chat widget for your website
  • Basic reporting

What it does not include:

  • Itinerary or quotation builder
  • Booking vouchers
  • GST invoices
  • Payment tracking beyond a manual number field
  • Any travel-specific workflows

You can build a deal for "Sharma Family – Bali Enquiry" and move it across stages like "New", "Quoted", "Won". You can set a reminder to follow up next Tuesday. But when it is time to send them an itinerary, you are back in Word or Google Docs, copying and pasting hotel names and prices.

HubSpot is built for SaaS and B2B sales, not tour operators.

What you get on Zoho CRM's free plan

Zoho CRM is free for up to 3 users.

The free plan gives you:

  • Contact, lead and deal management
  • Pipeline stages
  • Email integration
  • Reminders and tasks
  • Mobile app
  • Basic reports

What it does not include:

  • Workflow automation
  • Custom modules
  • Itinerary builder, vouchers, or any travel operations
  • WhatsApp integration
  • Payment gateway links

Zoho is more flexible than HubSpot if you are willing to pay and customise. But the free plan is just contact and deal tracking. If you want to compare how generic CRMs stack up against travel-specific ones, I wrote a detailed breakdown in Travel CRM vs Zoho, HubSpot & Salesforce.

Free CRM vs free trial: know the difference

Free CRM plan Free trial
Duration Forever 7 to 14 days
Features Basic contact and deal tracking only Full access to all features
Credit card Not required Sometimes required, not on TripClap
What happens after You keep using it You subscribe or lose access
Best for Solo agents with very few enquiries Testing a full travel CRM before committing

A free trial lets you see if a travel CRM actually saves you time. A free plan keeps you on basic tools indefinitely, which works only if your volume is tiny.

What free plans do not give you (and why it matters)

Here is what breaks when you try to run a travel agency on a free generic CRM.

No itinerary builder

You send itineraries in Word or PDF, formatted by hand. Every hotel name, every transfer, every price typed out. If the client asks for a change, you edit the whole document again. If you quote three variations, you maintain three separate files.

A travel CRM lets you drag and drop from a library of hotels, flights, sightseeing and transfers. Change the dates, the prices update. Swap a hotel, the PDF regenerates. One itinerary, multiple designs.

No booking or voucher management

Once the booking is confirmed, where do you track it? In Excel? A free CRM has no concept of a departure date, a voucher, or a supplier confirmation.

You end up with bookings scattered across WhatsApp chats, email threads and a "Bookings 2026" spreadsheet that three people edit at once.

No GST invoices

You need an invoice with your GSTIN, a line-item breakup, and GST calculated correctly. A free CRM does not generate invoices. You are back in Zoho Invoice (separate product), Tally, or Word templates.

No payment tracking

You can add a custom field called "Amount Paid" and update it manually. But there is no payment schedule, no overdue alerts, no ledger that shows outstanding balances by customer. You track payments in a separate sheet or notebook.

No lead integrations

Facebook Lead Ads, Google Ads lead forms, your website contact form: none of them flow into a free CRM automatically. You export a CSV every morning and upload it, or you copy-paste each lead by hand.

Paid CRMs connect directly. A lead fills a form, it appears in your pipeline two seconds later, assigned to the right person.

When a free CRM is enough

A free plan works if:

  • You are a solo agent or a two-person team.
  • You get fewer than 30 enquiries a month.
  • You send itineraries in Word or Google Docs and you are fine with that.
  • You track bookings and payments in Excel or a notebook.
  • You do not run Facebook or Google Ads.
  • You do not need your team to see the same data in real time.

In that scenario, HubSpot or Zoho free is better than nothing. It keeps your contacts in one place, lets you set reminders, and gives you a pipeline view so you know which enquiries are hot.

But the moment your volume crosses 30 or 40 enquiries a month, or you hire a second person, the cracks appear fast.

Signals it is time to upgrade

You know you have outgrown a free CRM when:

  • You spend more than an hour a day formatting itineraries in Word.
  • You forget to follow up on a lead because it was not in the CRM (it was in WhatsApp).
  • A team member asks "did we confirm the Jaipur hotel?" and no one knows.
  • You lose track of which invoices are paid and which are not.
  • You manually copy Facebook leads into a spreadsheet every morning.
  • A client asks for a quote variation and you have to rebuild the whole PDF.

Those are not minor annoyances. Each one costs you time, and time is the only thing you cannot get back.

What a paid travel CRM gives you

A travel-specific CRM is built around the way you actually work. Here is what changes.

Itinerary builder: Drag and drop from your library. Generate a day-wise plan with AI from one line. Share as a web link or PDF on WhatsApp. Multiple designs (Classic, Magazine, Minimal). Google place details fetched automatically for hotels and sights.

Booking and operations: Vouchers, departure calendar synced to Google Calendar, supplier confirmations, cab assignments. Everyone on your team sees the same information.

Payment tracking: GST invoices with your company number. Razorpay and Cashfree payment links. Instalments and payment schedules. A ledger that shows outstanding by customer.

Lead integrations: Facebook Lead Ads, Google Ads, website forms, Typeform, custom webhooks. Leads flow in automatically and get assigned to the right person.

WhatsApp Business: Manage conversations, templates and broadcasts from your CRM, on the official Meta Cloud API. (Available on higher plans.)

Reports: Conversions, revenue, payments, team performance. Target vs achieved, by user and by source.

What TripClap CRM costs (since I run it, I will be direct)

TripClap CRM does not have a free plan. We have a 7-day free trial, no credit card required.

After that, pricing is:

Plan Price (yearly) Users Key features
Growth ₹14,999/year
(≈₹1,250/month)
3 sub-users Lead management, dashboards, booking calendar, payment ledger, reports
Pro Plus ₹19,999/year
(≈₹1,667/month)
10 sub-users Adds itinerary builder, tour packages, vouchers, invoices, bulk lead upload, 3 lead integrations, Razorpay payment links
Enterprise Elite ₹24,999/year
(≈₹2,083/month)
Unlimited sub-users Adds WhatsApp Business integration, unlimited lead integrations, payment schedules, cab management

Prices checked on tripclapcrm.com in October 2026. Monthly billing also available. You get a named relationship manager on call, WhatsApp and email, in Hindi and English.

Where TripClap falls short: no built-in phone dialer or call recording. If you need those, you will have to use a separate tool.

Free trial checklist: what to test in 7 days

If you are trying a free travel CRM trial, here is what to focus on.

Day 1: Add 10 real enquiries from the last month. Assign them to pipeline stages. Set a few follow-up reminders.

Day 2: Build one itinerary from scratch. Try the AI prompt feature if available. Export as PDF and send it on WhatsApp. Ask yourself: is this faster than Word?

Day 3: Create a booking. Generate a voucher. Create an invoice with GST. Send a payment link if the CRM supports Razorpay or Cashfree.

Day 4: Connect one lead source (Facebook Lead Ads, website form, Google Ads). Submit a test lead and see if it appears in the CRM automatically.

Day 5: Invite one team member. Assign them a lead. Check if they can see the itinerary, the booking, the payment status.

Day 6: Pull a report. Conversions by source, revenue this month, outstanding payments. Is the data useful or just noise?

Day 7: Ask support a question on WhatsApp or email. How fast do they reply? Do they understand travel?

If the CRM saves you time on at least three of those tasks, it is worth paying for.

Frequently asked questions

Is there a completely free travel CRM with itinerary builder and invoices?

No. Free plans from HubSpot and Zoho give you contact and deal tracking only. Itinerary builders, vouchers and GST invoices are paid features on every travel CRM. If someone offers all of that free forever, they are either not sustainable or they are selling your data.

Can I use a free CRM and add itinerary templates separately?

Yes, but it is clunky. You can store itinerary templates in Google Docs or Canva, copy-paste into each quote, and track the booking in a free CRM. That works for 10 enquiries a month. Beyond that, you waste more time switching between tools than you save on software cost.

How long is TripClap CRM's free trial?

Seven days, full access to all features, no credit card required. You pick a plan at the end or you lose access. We do not have a free plan.

Can I upgrade from HubSpot or Zoho free to a paid travel CRM later?

Yes. Export your contacts and deals as a CSV, then bulk-upload into the new CRM. You will lose pipeline history and notes unless you manually copy key details. Plan for half a day of cleanup.

Do free CRMs limit the number of contacts or deals?

Zoho free allows up to 3 users. The limit is features, not volume. You can store 10,000 contacts on a free plan, but you still cannot build an itinerary or generate an invoice.

My honest take

A free CRM works if you are testing the idea of using a CRM at all. It is better than a notebook.

But if you are serious about growing your travel business, you will hit the ceiling fast. The time you spend copying itineraries, tracking payments in Excel, and manually uploading leads costs more than ₹1,250 a month.

I would rather see you spend that money and get three hours back every week. If you want to see what that looks like, start the 7-day free trial and test it against your actual workflow.
