Travel CRM Price in India 2026: Real Costs for Your Agency

Per-user or flat pricing? I break down what travel CRM software actually costs in 2026, including the fees nobody mentions upfront.

Travel CRM Price in India 2026: Real Costs for Your Agency

Short answer: Travel CRM price in India ranges from ₹799 to ₹2,600 per user monthly on per-user plans, or ₹14,999 to ₹24,999 yearly on flat-rate plans. Real cost depends on team size, lead integrations, WhatsApp API and hidden fees most vendors skip in their ads.

I run TripClap CRM. I see the pricing question every day.

Most travel agents I talk to have been burned. They sign up at ₹800 per user, then discover the setup fee is ₹25,000. Or they want WhatsApp and it costs another ₹2,000 just to connect. Or they hit an automation limit and get charged extra.

This article walks through what travel CRM software really costs in 2026. I compare per-user and flat pricing with worked examples for different team sizes, list the hidden costs nobody tells you upfront, and show you how to think about ROI. I'll be fair to other tools even though I want you to try ours.

How travel CRM pricing models work

Two main models in India right now.

Per-user pricing

You pay monthly or yearly for each person who logs in. Zoho CRM charges per user monthly depending on plan. telecrm charges per user monthly on annual billing.

Per-user pricing scales with your team. Two people, you pay for two. Ten people, you pay for ten.

The problem: it gets expensive fast. A 10-person team on telecrm pays yearly. A 15-person team pays yearly. Before setup fees, integrations or WhatsApp.

Flat-rate pricing

You pay one price for the whole company, with a cap on users. TripClap CRM works this way. Growth is ₹14,999 yearly for up to 3 sub-users. Pro Plus is ₹19,999 yearly for up to 10 sub-users. Enterprise Elite is ₹24,999 yearly with unlimited sub-users.

Flat pricing is predictable. You know exactly what you'll pay. Adding people doesn't change the bill. Better for growing teams.

The trade-off: if you're solo or a two-person shop, per-user pricing might actually be cheaper.

What drives travel CRM cost beyond the base subscription

The advertised price is rarely the full price. Here's what else you pay.

Setup and onboarding fees

TripClap CRM has no setup fee. You sign up, watch a few videos, start using it. We assign you a relationship manager on call and WhatsApp who helps you get going, included in every plan.

Lead integrations

If you run Facebook Lead Ads or Google Ads, you want those leads flowing into your CRM automatically. Some tools charge per integration or cap how many you connect.

TripClap includes Facebook Lead Ads, Google Ads, Typeform, webhooks and TripClap marketplace leads on Pro Plus (3 integrations) and unlimited integrations on Enterprise Elite. Growth doesn't include lead capture integrations.

telecrm supports lead capture from multiple platforms on all plans.

WhatsApp Business API

The official WhatsApp Business API from Meta is the only way to send template messages, broadcasts and automated replies at scale. Costs money to connect and money to use.

telecrm charges for WhatsApp setup and a per-user monthly fee for their WhatsApp add-on.

TripClap includes WhatsApp Business on the official Meta Cloud API only on Enterprise Elite (₹24,999/year), with no per-user charge. You still pay Meta's per-conversation fees directly to them.

Payment gateway transaction fees

When you send a Razorpay or Cashfree payment link to a customer, the payment gateway charges a percentage. That's separate from your CRM cost.

TripClap integrates Razorpay and Cashfree payment links on Pro Plus and Enterprise Elite. We don't charge you anything for the integration. You pay the gateway's standard rate directly to them.

SMS and email sending

Some CRMs charge per SMS or per email. TripClap doesn't send bulk SMS or marketing emails, so there's no charge from us. If you use a third-party SMS provider through Zapier or webhooks, you pay that provider directly.

Worked examples: what you actually pay for a 3-, 7- and 15-person team

Let's compare real numbers.

Team sizeZoho CRM (Standard ₹800/user/mo)telecrm (₹799/user/mo annual)TripClap CRM (flat annual)
3 people₹28,800/year₹28,764/year₹14,999/year (Growth)
7 people₹67,200/year₹67,116/year₹19,999/year (Pro Plus, up to 10 users)
15 people₹1,44,000/year₹1,43,820/year₹24,999/year (Enterprise Elite, unlimited users)

Now add WhatsApp. telecrm charges for setup and a per-user monthly fee. TripClap includes WhatsApp on Enterprise Elite with no per-user charge, so a 7-person team would need to upgrade from Pro Plus to Enterprise Elite (₹24,999 instead of ₹19,999) but pay nothing more after that.

The crossover: if you're solo or two-person and you don't need WhatsApp API or advanced features, per-user pricing can be cheaper. Once you hit 3 to 5 people or you want WhatsApp, flat pricing usually wins.

Hidden costs checklist: what to ask before you sign up

Here's what to confirm with any CRM vendor before you pay.

  • Is there a setup or onboarding fee? How much?
  • How many users are included? What happens when I add more?
  • Are lead integrations (Facebook, Google, website forms) included or extra?
  • Is WhatsApp Business API included? If yes, on which plan? Is there a per-user charge?
  • Are there automation limits? What happens if I exceed them?
  • Can I connect Razorpay or Cashfree for payment links? Any extra cost?
  • Is SMS or email sending included or charged separately?
  • What's the refund policy if I cancel mid-year?
  • Are software updates and new features included, or do I pay for upgrades?

If the vendor's website says "pricing on request," assume there are fees they don't want to publish.

How to think about ROI: one extra booking pays for the CRM

Say your average tour package is ₹80,000 and your margin is 15%. That's ₹12,000 profit per booking.

If your CRM costs ₹20,000 yearly, you need to close 1.7 extra bookings in 12 months to break even. One extra booking every seven months.

A CRM helps you close more bookings by making sure no lead falls through the cracks, reminding you to follow up, and letting you send a beautiful quotation PDF in two minutes instead of two hours. If it gets you even one extra booking per quarter, it's paid for itself.

Most agents I talk to see ROI in the first 60 days.

Where TripClap CRM falls short (and when to pick something else)

I said I'd be honest, so here it is.

TripClap CRM doesn't have a built-in phone dialer or call recording. If your sales team makes 100 outbound calls daily and you want to record and review every conversation, telecrm is a better fit.

We also don't have a separate desktop application. Everything runs in your browser or on our mobile-responsive web app. If you need an offline Windows desktop app, look elsewhere.

And if you're solo, only need lead tracking and reminders, and you'll never grow past two people, Zoho CRM or a simple spreadsheet might be enough. Our flat pricing isn't cheaper than per-user for a one-person shop.

But if you're a 3- to 15-person travel agency or DMC, you want itineraries and quotations, you need payment tracking and you want WhatsApp without paying per user, TripClap's flat pricing makes more sense than per-user tools.

How TripClap CRM pricing works

We have three annual plans, billed yearly. Monthly billing is also available at a higher rate.

Growth: ₹14,999/year (about ₹1,250/month). Up to 3 sub-users. Lead management, dashboards, booking and reminder calendars, payment ledger and reports. No itinerary builder, no lead integrations.

Pro Plus: ₹19,999/year (about ₹1,667/month). Up to 10 sub-users. Adds itinerary builder, tour packages, prospect tracker, vendors and vouchers, invoices, bulk lead upload, 3 lead integrations (Facebook, Google, Typeform or webhooks), Razorpay payment links, hotel and flight search.

Enterprise Elite: ₹24,999/year (about ₹2,083/month). Unlimited sub-users, unlimited lead integrations, WhatsApp Business on Meta Cloud API, payment schedules and cab management.

All plans include the AI Assistant (ask questions in English, Hindi or Hinglish, summarise leads, draft replies, build itineraries), a named relationship manager on call and WhatsApp, and free software updates. No setup fee. 7-day free trial, no credit card required.

Compare this to general CRM tools like Zoho

Zoho CRM is solid general-purpose. Mature, stable, integrates with the whole Zoho suite. But it's not built for travel.

You can't drag and drop a 7-day itinerary, add hotels and sightseeing with photos and maps, and export a beautiful PDF quotation in two minutes. You can't manage vouchers, departure calendars or supplier contracts without heavy customisation.

Zoho's Standard plan gives you pipeline management, email integration and basic automation. To get advanced features like custom modules and APIs, you need higher-tier plans.

If you're running a travel business, you want software built for travel. Read our comparison of the best travel CRM software in India to see how the purpose-built tools stack up.

What about "free" CRMs?

Some general CRMs offer free plans with basic features.

Free plans are fine for basic contact management and pipeline tracking. But you won't get itinerary builders, payment tracking, WhatsApp API, lead integrations or travel-specific reports. The free plans are designed to upsell you to paid tiers once you need anything beyond the basics.

If you're just starting and you want to test whether a CRM helps at all, try a free plan. Once you're closing 3 to 5 bookings monthly, upgrade to a proper travel CRM. The ROI is obvious by then.

Frequently asked questions

What is the average cost of a travel CRM in India?

Per-user tools charge per user monthly on annual billing. Flat-rate travel CRMs like TripClap cost ₹14,999 to ₹24,999 yearly regardless of team size (within the user cap).

Is per-user or flat pricing better for a small travel agency?

If you're solo or two-person and you don't need lead integrations or WhatsApp API, per-user pricing can be cheaper. Once you have 3 to 5 people or you want advanced features, flat pricing usually saves money. Run the numbers for your actual team size and the features you need.

Do I have to pay extra for WhatsApp Business API?

Depends on the CRM. telecrm charges for WhatsApp setup and a per-user monthly fee. TripClap includes WhatsApp on Enterprise Elite (₹24,999/year) with no per-user charge. You always pay Meta's per-conversation fees directly to Meta, regardless of which CRM you use.

Are there hidden costs in travel CRM software?

Common hidden costs include setup/onboarding fees, per-integration charges, WhatsApp API add-ons, automation limits with overage fees, payment gateway transaction fees, and SMS/email sending charges. Always ask for the total cost including these before you sign up.

Can I get a refund if the CRM doesn't work for my agency?

Refund policies vary. TripClap's annual plans are non-refundable once paid, except in cases of major technical failure where we may offer a discretionary partial refund or service credit. Always read the refund policy on the vendor's website before you pay.

How many bookings do I need to justify the cost of a CRM?

If your CRM costs ₹20,000 yearly and your average profit per booking is ₹12,000, you need about 1.7 extra bookings in 12 months to break even. One extra booking every seven months. Most agents see ROI much faster because the CRM helps them follow up consistently, respond faster and send better quotations.

My honest take

Pricing is the first filter. It shouldn't be the only one.

A cheap CRM without itinerary building or payment tracking costs you more in wasted time than you save on the subscription. An expensive CRM your team refuses to use is money down the drain.

Pick a CRM that fits your team size, has the features you actually need (not a 50-page feature list you'll never touch), and charges in a way you can predict. Take the free trial seriously. Get your team to use it for a week. See if it makes quoting faster and follow-ups easier.

If you want to try TripClap CRM, start the 7-day free trial. No credit card, no setup fee. If it doesn't work for you, no hard feelings.
